If you've completed your CPD, gathered your feedback, and written your five reflective accounts, you might think the hard part is over. But there's one more requirement before you can submit: the reflective discussion.
For most nurses, this is the most anxiety-inducing step. Not because it's difficult — but because it's a live conversation about your professional practice, and if you've never done one before, you don't know what to expect.
This guide covers everything: who can be your reflective discussion partner, what they'll ask, how to prepare, and how to make the discussion genuinely useful rather than just a box-ticking exercise. Plus, I'll show you how Revalidation Copilot keeps everything organised so you walk into the discussion confident — not scrambling through a pile of papers.
What Is the NMC Reflective Discussion?
The reflective discussion is a one-to-one conversation between you and another NMC-registered nurse, midwife, or nursing associate. It's a requirement of revalidation — you must complete it before your confirmer signs off your portfolio.
The purpose is simple: you talk through your CPD, the feedback you've received, and your reflective accounts. Your partner asks questions, explores your thinking, and confirms that you're reflecting genuinely on your practice.
It is not a test. It isn't marked. There is no pass or fail. It's a professional conversation designed to help you think more deeply about your development.
Quick facts
Duration: Typically 30–60 minutes.
Frequency: Once per revalidation cycle (once every 3 years).
Format: In person, by phone, or by video call. The NMC accepts all of these.
When: Ideally 4–8 weeks before your revalidation deadline.
Documentation: Your partner signs the reflective discussion section on your reflective account form (Form 4).
Who Can Be Your Reflective Discussion Partner?
The NMC rules are specific. Your reflective discussion partner must be:
- Registered with the NMC — they must be a nurse, midwife, or nursing associate on the current register
- On the same part of the register — for example, if you're a registered nurse, they should also be a registered nurse (or a midwife)
- Familiar with your practice — ideally someone who understands your area of work
Your partner can be:
- A colleague from your ward or department
- A practice educator or clinical tutor
- Your line manager (so long as they are NMC-registered)
- A nurse from another team or organisation
Your partner cannot be:
- Someone who is not on the NMC register
- A nurse who has had their registration removed or suspended
Important: same person, two roles
Your reflective discussion partner can also act as your confirmer. Many nurses choose the same person for both roles because it reduces the number of people involved. You'll both need to know the rules for each role separately, and the confirmer form (Form 6) is distinct from the reflective discussion sign-off on Form 4.
What Happens During the Reflective Discussion?
The discussion covers three main areas from your revalidation portfolio. If you've been tracking throughout your cycle, all this will be in one place. Revalidation Copilot keeps your CPD log, feedback records, and reflective accounts organised automatically — so you're not flipping through different folders and Word docs the night before.
The three areas are:
- Your CPD — What did you learn? How has it changed your practice?
- Your feedback — What did colleagues, patients, or service users tell you? What did you take away?
- Your reflective accounts — Walk through each one. What happened, what you learned, and how it links to the NMC Code
The conversation should flow naturally. Your partner will ask open questions like:
- "Tell me about that situation — what were you thinking at the time?"
- "What would you do differently if it happened again?"
- "How does that piece of CPD link to your everyday practice?"
- "What feedback surprised you the most?"
- "Which of the four Code themes does this reflection connect to?"
You don't need to memorise your portfolio. The discussion is a conversation, not an interrogation. Your partner has your forms and will guide the discussion through them.
How to Prepare for the Reflective Discussion
1. Complete everything first
Don't book your discussion until you've done your CPD, collected your feedback, and written your five reflective accounts. The discussion works best when you have a complete portfolio to talk through.
Save time: Revalidation Copilot tracks CPD hours, logs practice hours, and drafts reflective accounts from voice notes as you go. Your portfolio builds itself over the cycle — so when it's time to prep for your discussion, everything's already there.
2. Read through your own portfolio
Spend 20 minutes going over everything so it's fresh in your mind. You don't need to memorise content — just know what's in there so the conversation flows naturally. If your portfolio is in Revalidation Copilot, you can pull it up on your phone in seconds.
3. Think about your Code links
The NMC expects each reflective account to link to the Code. If you've written reflections that cover more than one theme, be ready to explain why. Our reflective account Code guide can help you prepare. Revalidation Copilot also suggests Code links when you draft reflections, so you don't have to remember every theme.
4. Choose a comfortable partner
You'll get more out of the discussion if you choose someone you trust. A colleague who knows your clinical area will understand the context of your reflections and ask better questions.
5. Bring your forms
Your partner needs your completed reflective account summaries (Form 4) to sign off the discussion. With Revalidation Copilot, you can export your portfolio straight from the app — no printing, no form-filling, no lost papers.
Sample Reflective Discussion Questions
| Portfolio Area | Example Questions Your Partner Might Ask |
|---|---|
| CPD | "What was the most useful CPD activity you did this cycle?" "How did that training change how you work day-to-day?" |
| Feedback | "Was there any feedback that surprised you?" "How did you act on the feedback you received?" |
| Reflective accounts | "Walk me through that last reflection — what would you do differently?" "Which Code themes does this connect to, and why?" |
| Overall practice | "What's the biggest change in your practice since your last revalidation?" "Is there anything you want to develop further in the next cycle?" |
What Happens After the Discussion?
After the discussion, your partner signs the reflective discussion declaration on your reflective account form (Form 4). This confirms you've completed the conversation and that your reflections are genuine.
You then take your signed portfolio to your confirmer (who may be the same person) for the final sign-off.
Reflective Discussion vs Confirmation: What's the Difference?
| Reflective Discussion | Confirmation | |
|---|---|---|
| Purpose | Discuss your development and reflections | Verify that you've met all revalidation requirements |
| Who | Another NMC-registered professional | Another NMC-registered professional (often a senior colleague) |
| When | Before confirmation | After the reflective discussion |
| Form | Sign-off on Form 4 | Form 6 (Confirmer Form) |
| Can be the same person? | ✅ Yes | ✅ Yes |
Common Questions About the Reflective Discussion
Can I have my reflective discussion by video call?
Yes. The NMC accepts reflective discussions conducted by phone or video call. The important thing is that it's a live conversation — not a written exchange via email or text.
What if I can't find someone to do my reflective discussion?
Start with your line manager or practice educator. Most trusts have a process for this. If you're not in a traditional workplace, reach out to a former colleague, your university, or a professional network. Some trusts run group reflective discussion sessions.
Can my reflective discussion partner also be my confirmer?
Yes. Many nurses choose the same person for both roles to keep things simple. Just make sure they understand the separate requirements for each role.
What if my partner isn't available before my deadline?
Book early. We recommend booking your reflective discussion 4–8 weeks before your deadline. Managers get busy, shifts change, and summer leave can cause delays.
How long does the discussion take?
Typically 30–60 minutes. Some go longer if the conversation is rich. Some finish in 20 minutes if everything is straightforward. There's no minimum duration — the NMC doesn't specify a time requirement.
What if my partner is a nurse but works in a different specialty?
That's fine. They need to be on the same part of the register as you, but they don't need to work in your exact specialty. In fact, a different perspective can lead to more interesting discussion.
Make Your Portfolio Easy to Discuss
The best way to prepare for a smooth reflective discussion is to keep your portfolio organised throughout the cycle — not the week before.
If you track your CPD, log feedback as it happens, and write reflective accounts soon after the event, your portfolio will tell a coherent story about your development over three years. That makes the reflective discussion feel natural rather than a scramble to remember what happened 18 months ago.
That's where Revalidation Copilot comes in. Instead of juggling spreadsheets, Word docs, emails, and paper forms, you get one app that tracks everything. Record a voice note after a shift and the AI drafts a reflective account. Log a training session and it updates your CPD total. Collect feedback as it comes in — all in the same place.
When your reflective discussion arrives, you're not scrambling. You open the app, review your portfolio, and walk in knowing exactly what you've achieved over the cycle.
